Check the receiving institution’s transcript rules before you order delivery. Then request the correct record through your Nigerian university’s official records office or approved portal. A document can be genuine and still be rejected if it arrives through the wrong route.
This guide is for applicants who need to obtain or send their academic record. If your results are not final, read how to approach an application while your final transcript is pending and ask admissions which record it can assess at your current stage.
On this page: Check delivery rules · Make your request · Request email · Track delivery · Handle delays
1. Check who must send the transcript
Read the university’s application instructions and any guidance specifically for qualifications from Nigeria. Record whether the rule applies now, when an offer is made, or before enrolment. Those stages can have different requirements.
Two examples show why this matters. Stanford accepts unofficial transcripts for application review and requires official records before enrolment if an applicant is admitted and accepts the offer. Swedish admissions instructions for Nigeria require the official transcript to come directly from the awarding university’s official email domain; transcripts sent by private individuals or student copies are not accepted.
Do not interpret “unofficial” as permission to type your own grades into a new document. Use the record and format the receiving institution allows. Oxford’s transcript guidance, for example, rejects self-typed transcripts and explains its accepted formats.
Before paying for delivery, write down:
- The document type requested and the qualifications it must cover.
- Whether you upload it or your university sends it.
- The destination email, portal or postal address from the official instructions.
- Any application number or reference that must accompany it.
- The document deadline and whether the rule is about receipt, not simply dispatch.
If the instructions say “official transcript” without explaining delivery, ask admissions to clarify. Ordering both courier and email delivery just in case can create extra expense without solving the ambiguity.
2. Find your university’s official request route
Start from your university’s main website and look for Registry, Academic Records, Examinations and Records, or alumni services. Follow the link it provides to the request portal. For a UNILAG request, the University of Lagos Records Portal is an official starting point.
A third-party service should be treated as the correct route only when your university identifies it as an approved option for the service you need. If a portal cannot find your record, contact the records office with your details rather than creating multiple paid requests.
Prepare the following information before you start. This is a preparation checklist; your university may ask for different or additional information:
- Full name used while studying and any name difference that needs clarification.
- Matriculation or registration number.
- Department, degree and attendance or graduation years.
- Your contact details.
- Receiving institution and programme.
- Exact delivery instructions and application reference, if required.
- Supporting identification or evidence requested by the portal.
Check the current fee inside the official process and keep the receipt. This guide does not give one Nigerian transcript fee or processing time: obtain an estimate for your own request, including whether delivery is charged separately. A payment receipt is evidence of payment, not proof that your transcript has been issued.
3. Use a clear transcript request email
Use this example if your records office accepts enquiries by email. Replace the bracketed text and send it to the address listed by your university. It does not replace a required portal application.
Subject: Transcript request enquiry — [matriculation number] — [receiving institution]
Dear Records Office,
I studied [degree and department] at [university] between [years], under the name [name on student record]. My matriculation number is [number].
I am preparing an application to [programme and institution]. Its transcript instructions are available here: [official link]. The stated document deadline is [date].
Please confirm the correct request procedure, current fee, expected processing time and whether you can deliver the transcript by [required method]. My application reference is [reference, if issued].
If I must complete a portal request or provide supporting documents first, please direct me to the official instructions.
Thank you,
[name]
When you already have an open request, use its reference in your follow-up. Ask about the specific missing step, such as record retrieval, issuance or dispatch. Avoid sending the same request to several unrelated offices.
4. Track receipt as well as dispatch
Keep four separate milestones: requested, issued, sent and received. Add “accepted” if the receiving portal reports whether the document meets its requirements. These are different events.
- Request reference and date: __________
- Receipt or payment reference: __________
- University contact or support ticket: __________
- Expected next update: __________
- Dispatch date and delivery reference: __________
- Receiving application reference: __________
- Receipt or document status: __________
- Next action and follow-up date: __________
For electronic delivery, ask the issuing office to confirm when and where it sent the record. For postal delivery, retain the tracking reference. Neither a “sent” email nor a courier delivery notice proves that admissions has matched the transcript to your application.
5. If your transcript is delayed
Contact both sides with different questions. Ask your registry what stage the request has reached and when it expects the next step. Ask admissions whether the delay affects assessment and whether it accepts any temporary evidence. Include your application reference, the missing document and the deadline.
Do not assume a pending request extends an application deadline. Get any permitted alternative or extension in writing and retain it with your application. If no alternative is accepted, use the next available application round rather than presenting an unapproved substitute as a completed requirement.
For your other paperwork, use our master’s application document checklist or the application section of our starting guide. Check the receiving institution’s current instructions again before arranging delivery; a process used for one application may not fit the next.
